Start with the actual plan and term
Write down the quoted plan, currency, billing period, renewal date and any conditions before comparing totals. A monthly equivalent on an annual contract is not the amount charged each month. These different structures make a headline comparison incomplete. Use the current dated quote for your organization, not a rate copied from another country or an older article.
Give every cost one home
Our original comparison method uses three buckets: fixed software costs, activity-related charges and transition work. Put an annual prepaid subscription in the fixed bucket once; do not also add twelve monthly equivalents. Put processing and platform percentages on their correct transaction base. Record extra services, currency conversion or migration charges as unknown until the provider confirms them. A blank quote field is not evidence of zero cost. Treat voluntary donor fee contributions as uncertain rather than assuming every donor covers them.
Test a quiet year as well as a busy one
Use the local cost worksheet with fictional or anonymous aggregate assumptions. Compare the same gift volume and number of transactions across both options, then repeat with a lower volume. A fixed subscription can remain payable during a quiet month; percentage-based charges change with the assumed activity. The arithmetic does not value staff time, predict gifts or prove that one platform will convert better. If the cheaper scenario lacks a required permission or export, price is not the complete decision.
Make the purchase decision conditional
Keep a short decision note: quoted scope, annual cash commitment, excluded costs and the requirement that justifies switching. Ask the appropriate provider to resolve material unknowns before an authorized purchase. Keeping an adequate existing platform remains a valid alternative. Recheck the quote when the plan, processor, geography or expected activity changes, rather than treating today’s scenario as permanent.
